For more than 25 years we have supported grantees to help educate policymakers and the general public about the health and economic benefits of a clean energy economy. Grantees include business, health, labor, environmental, faith, equity, free-market, and consumer groups, as well as policy experts, military organizations, think tanks, and universities.

Energy Foundation’s founding office is in San Francisco, CA, with additional offices in Raleigh, NC; Chicago, IL; Washington, DC; and Las Vegas, NV.

Position Summary

The primary responsibilities of the Systems and Operations Manager, Strategic Partnerships, are to support the work of the Strategic Partnerships (SP) teams in the U.S. and China and manage related processes and systems. Using strong organizational, administrative, and communications skills, the person in this position is expected to manage all of SP’s systems and operations and the technical requirements that go with them. Partnership across teams, particularly Programs, Finance, and IT is essential, as is working with those teams to establish priorities, set goals, and track outcomes. The Systems and Operations Manager, Strategic Partnerships, reports to the Vice President for Strategic Partnerships.

Responsibilities
  • Design and operate all administrative systems and procedures to track, record, report, acknowledge, and recognize all contributions and ensure the accuracy and timeliness of all fundraising activities, prospect contacts, and donor reports.
  • Manage SP team projects, ensuring milestones are met and deadlines are reached. These include but are not limited to complex tracking of multiple funder matching requirements, yearly charitable registration requirements, and ongoing research and use of Donor Advised Funds.
  • Manage all donor proposals and reports from inception to completion, including coordinating with Program and Operations staff. Take the lead in regularly occurring funder “jump team” meetings to develop and execute proposals for funder needs. Coordinate input from multiple sources, including Program staff, Finance, and senior management. Liaise with funders around the proposal and reporting process.
  • Manage donor-specific requests for grantmaking information by pulling data from the grants database.
  • Liaise with Program and Finance teams to ensure revenue data in the Program budget is up-to-date and revenue is accurately reflected in Salesforce and the grants database.
  • Lead the implementation of Salesforce for SP relationship management and collaborate with IT leadership for technical management. Lead the discovery of other tools that would be suitable for SP and compatible with other systems across the organization.
  • Serve as first point of contact for internal staff and external funders on operational questions related to grant awards. As necessary, coordinate with SP, Program, and/or Operations teams to provide guidance.
  • Track and record funder requests for anonymity and coordinate with appropriate Operations and Communications staff to ensure appropriate security measures are in place to protect confidential and/or sensitive funder information.
  • Contribute to donor and prospect research activities and donor profiles, whether research functions are onsite or contracted externally, to provide superior knowledge about current and prospective partners.
  • Assist, as directed, in the execution of grant-related activities, communication with funders, and fulfillment of donor special requests. Provide support as needed for fundraising activities, including cultivation and other events.
  • Research and understand regulations and best practices for potential new donor services. Manage the process of defining policies and procedures across teams to implement new donor services.
  • Manage outside counsel to ensure EF maintains organizational filings for US charitable solicitations’ state registration. Organize and maintain related documentation.
  • Liaise with Senior Vice President, Strategic Partnerships and Vice President, Strategic Partnerships to set the annual department budget and monitor spending throughout the year.
  • Aid in the production and quality control of work products, including formatting Word documents, PowerPoint presentations, and Excel spreadsheets that communicate SP strategies, activities, and results.
Experience
  • Five or more years of experience in project management and providing administrative support for multiple individuals.
  • Project management. Experience advancing multiple projects that involve complex issues, various stakeholders, and deadlines to a successful completion.
  • Experience supporting multiple priorities and juggling a variety of tasks for one or more individuals in a team environment.
  • Demonstrated knowledge of and work experience in one or more of the following areas: philanthropy, project management, energy, climate, public policy.
  • Technical skills. Experience managing a relational database, Salesforce strongly preferred. Advanced skills in Excel or similar spreadsheets preferred. A minimum of intermediate skill level using PowerPoint, Word, and Outlook, preferably in a Mac environment; familiarity with Google Drive/Docs.

Other requirements

Ability to travel two to three times a year for two to three business days at a time.

Work environment

Energy Foundation is located in the Bently Reserve building in San Francisco, a LEED certified establishment, easily accessible via public transportation. The office environment is a typical office, with moderate noise levels, shared kitchen facilities, and a collegial atmosphere. This position resides in open shared office space. On occasion, there are activities or events after work hours. Occasional travel is required.
